Start with the sources you already use

A shared family calendar is useful only if the information reaches it. If one parent is copying school dates from email and another is maintaining a separate work calendar, a new blank calendar can create another place to update. Anna follows connected email and calendar sources and helps turn family information into tasks and events. ‘Fills itself’ means reducing that repeated entry, not a promise that every detail will be captured or every change understood. Start with your existing Google account and the sources that contain your real week. Review a few ordinary events before you build a new routine around the shared view.

Make the event useful to the person who did not create it

‘Football’ might make sense to the person who booked it. The other parent may need the child, venue, finish time, and pickup arrangement. Use event names and notes that answer those questions. For overlapping events, distinguish the event time from the travel time and the handover. A calendar can show that two things overlap without deciding which one the family should change. Ask Anna to help review the week, then make the practical decision together. A shared view does not mean an adult has accepted responsibility for every item they can see. Keep transport and supervision arrangements explicit. When children move between homes, include the handover location and any school bag, kit, or medication that needs to travel with them. Confirm responsibility directly.

Google first, Apple Calendar afterwards

A Google account is required to sign up. Apple Calendar can be connected afterwards from Settings through Other mailboxes, using an Apple app-specific password. The connection flow can also support an Apple ID that has a calendar but no iCloud mailbox. That does not remove the Google signup requirement. After connecting, check that the expected events appear and that the timezone and all-day dates make sense. Calendar changes can take time to reach another service. If a pickup has just changed, confirm it directly with the person involved rather than assuming every screen already shows the latest version.

Treat subscriptions and invitations differently

A subscribed calendar is useful for a sports team or school schedule maintained by somebody else. Its owner controls the source, and updates may arrive on a different schedule from events in your own calendar. Keep the original subscription rather than copying its entries into a second list unless you have a reason to do so. A household invitation serves another purpose: it brings another adult into the family setup. Check that your partner can reach the intended view and knows which account is connected. Do not assume that giving somebody a link means they have finished joining or that a subscription gives you permission to edit the original schedule.

Review the week without turning it into another project

Pick a short, repeatable check: look at the next school day, the next unusual appointment, and any overlap that needs an adult’s decision. Ask for a reminder when you need a timed nudge; putting a deadline in the calendar is not the same thing. If an event looks wrong, check the source and correct the detail before adding another copy.
